Workspace Overview
Understand personal and shared workspaces, switch between them, and see how workspace data and usage stay separated.
What is a Workspace?
A workspace is the shared home for your agents, conversations, contacts, form submissions, usage, and team members. Everything you see in the application belongs to the workspace that is currently active.
Every account starts with a personal workspace. When you accept an invitation to another workspace, you can move between both without creating another account.
Personal workspace
Created automatically for your account. You are its owner and control its agents, data, team, usage, and billing.
Shared workspace
A workspace another owner invited you to. What you can see and change depends on your assigned role.
What Changes With the Active Workspace?
The active workspace controls:
- Which agents and knowledge bases appear
- Which conversations, contacts, and form submissions you can access
- Which teammates can be assigned to conversations
- Which plan, seat limit, and message usage apply
- Which dashboard and analytics data is calculated
Workspace data stays separated
Switching workspaces does not merge or copy data. OpenSpeechAI clears locally cached workspace data before loading the workspace you selected.
Switch Workspaces
The workspace switcher appears when your account belongs to more than one active workspace.
Open Your User Menu
Select your profile at the bottom of the application sidebar.
Choose Switch Workspace
Select Switch workspace to see every workspace where you have an active membership. Each option shows whether it is your personal workspace or the role you hold in a shared workspace.
Select a Workspace
Choose the workspace you want to open. OpenSpeechAI takes you to Conversations and refreshes the application with that workspace's data.
View Workspace Details
Open your user menu and select Settings. The Settings dialog shows the active workspace name, whether it is personal or shared, your current role, plan usage, and the account sections available to you.
Only workspace owners can manage the subscription. Other roles may see fewer settings and navigation options.
Joining Another Workspace
You join a shared workspace through an invitation link. The invitation must match the email address on your OpenSpeechAI account. After acceptance, the shared workspace becomes active and your personal workspace remains available from the switcher.
